These Terms and Conditions ("Terms") govern your access to and use of Campus Companion, including our website, mobile-web application, and related services (collectively, the "Platform"). By creating an account or using the Platform, you agree to be bound by these Terms. If you do not agree, please do not register for or use the Platform.

1. Who can use Campus Companion

Campus Companion is designed for students and staff residing in participating campus hostels. To use the Platform, you must:

2. Your account

2.1 Registration and verification

Creating an account requires your name, phone number, email address, gender, and hostel details (hostel name, floor, and room number). Your phone number is verified via a one-time SMS passcode before your account becomes active.

You are responsible for maintaining the confidentiality of your password and for all activity that occurs under your account. You agree to:

For your security, changing your password or resetting it will automatically sign you out of all other active sessions on other devices.

2.3 Accuracy of information

You agree to provide accurate, current, and complete information, including your hostel, floor, and room number. Inaccurate location details may result in failed or delayed service delivery, for which Campus Companion is not responsible.

2.4 Account deactivation

You may deactivate your account at any time from your profile settings. Deactivation is a soft process: your account is disabled but your data is retained for 30 days in case you wish to recover it, after which point recovery may no longer be possible. To close your account permanently or sooner, contact support.

3. What we offer

Campus Companion connects students with on-campus service providers. Our currently available service is washroom and room cleaning, offered as either a single visit or a recurring monthly plan (one clean per week). Additional services may be introduced over time; where a service is marked "coming soon," it is not yet available for booking.

Campus Companion is a booking and coordination platform. Cleaning and other services are performed by independent service providers ("workers") who are vetted and onboarded by our team, but who are not employees of Campus Companion in the delivery of the service itself.

5. Pricing, payments and discounts

5.1 Pricing

Prices are set per hostel and displayed to you before you confirm any booking. Prices may vary between hostels due to differences in room size and service scope, and may be updated by us from time to time; the price shown to you at the time of booking is the price you will be charged.

5.2 Payment processing

All payments are processed securely through Paystack, a licensed third-party payment processor. We accept payment by card, mobile money, and bank transfer, subject to what Paystack supports at the time of your transaction. Campus Companion does not store your full card or mobile money credentials.

A booking is only confirmed once your payment has been verified as successful. If payment fails or is not completed, no booking is created and no charge should occur; if you believe you were charged without a corresponding confirmed booking, please contact support immediately with your payment reference.

5.3 Discounts and promotions

From time to time, we may offer discounts — site-wide, specific to your hostel, or specific to your account — applied automatically at checkout where eligible. Discounts are shown transparently before you pay, including the original price, discounted price, and applicable discount. Discounts may be time-limited, withdrawn, or modified at our discretion, and cannot be combined unless explicitly stated.

6. Cancellations and refunds

Cancellation cutoff: Bookings can be cancelled free of charge up until one hour before the scheduled appointment time. Cancellation requests within one hour of the scheduled time cannot be processed through the app — please contact support directly for exceptional circumstances.

Where a paid booking is validly cancelled, your payment is flagged for refund review by our team. Approved refunds are processed back to your original payment method and, depending on your bank or mobile money provider's processing times, may take 5–7 business days to reflect. Refunds are reviewed and confirmed by our support team rather than issued automatically, to protect against error and abuse.

We reserve the right to decline a refund where there is evidence of misuse of the cancellation or refund process.

7. Service delivery and worker verification

For your safety and accountability, every Campus Companion worker carries a unique, digitally signed identity badge. On arrival, you will be asked to scan your worker's badge QR code (or enter their short worker code) through the app before the service begins. This step:

We strongly recommend you do not permit a worker to begin service without successful badge verification. Photographic proof of work (before/after) is captured by the worker as part of job completion and may be reviewed by our team in the event of a dispute.

8. Ratings, reviews and feedback

After a completed booking, you may be invited to rate your experience and the assigned worker. Reviews should be honest, respectful, and relevant to the service received. We reserve the right to remove reviews that are abusive, defamatory, contain personal information about a third party, or otherwise violate these Terms, and to feature or unfeature testimonials on our public website at our discretion.

9. Acceptable use

When using Campus Companion, you agree not to:

10. Broadcasts and communications

We may send you service-related communications via SMS, in-app alerts, and email, including OTP codes, booking status updates, payment confirmations, and occasional announcements from our administrative team. These communications are considered part of the Service and cannot be fully opted out of while your account remains active, though promotional messaging may be limited at your request via support.

11. Third-party services

Campus Companion relies on trusted third-party providers to operate, including Paystack for payment processing and SMS gateway providers for OTP and notification delivery. Your use of these integrated services is also subject to those providers' own terms and privacy practices. We are not responsible for outages, delays, or errors originating from third-party providers that are outside our reasonable control.

12. Your data and privacy

Our collection, use, and protection of your personal information is described in our Privacy Policy, which forms part of these Terms. By using the Platform, you consent to the data practices described there.

13. Intellectual property

The Campus Companion name, logo, design, and all software, content, and materials on the Platform are the property of Campus Companion or its licensors and are protected by applicable intellectual property laws. You may not copy, modify, distribute, or create derivative works from the Platform without our prior written consent.

14. Disclaimers and limitation of liability

The Platform is provided on an "as is" and "as available" basis. While we work to vet and monitor our service providers, Campus Companion acts as an intermediary connecting students with independent workers, and:

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under Ghanaian law, including liability for fraud or willful misconduct.

15. Indemnification

You agree to indemnify and hold harmless Campus Companion, its officers, employees, and affiliated workers from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your violation of these Terms, misuse of the Platform, or violation of any third party's rights.

16. Suspension and termination

We may suspend or terminate your account, with or without notice, if we reasonably believe you have violated these Terms, engaged in fraudulent activity, posed a risk to another user or worker, or for any other legitimate business reason. You may stop using the Platform and deactivate your account at any time as described in Section 2.4.

17. Dispute resolution and governing law

We encourage you to first contact our support team to resolve any issue informally. These Terms are governed by the laws of the Republic of Ghana, and any disputes that cannot be resolved informally shall be subject to the exclusive jurisdiction of the courts of Ghana.

18. Changes to these Terms

We may update these Terms from time to time to reflect changes in our services, legal requirements, or business practices. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you via the Platform. Your continued use of Campus Companion after changes take effect constitutes your acceptance of the revised Terms.
